The type of information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details including address, email address and phone number).

  • Notes will be made from your coaching sessions which are required as per proper professional practice set out by the European Mentoring & Coaching Council.

  • No tracking of the use of this website takes place. 

How we get the information and why we have it?

The personal information we process is provided to us directly by you for one or more of the following reasons:

  • Fulfill and manage your orders: To invoice you for services, manage your orders, payments, returns and exchanges through the services. 

  • To deliver and facilitate delivery of services to you. We may use your information to provide you with the requested service. This includes the documenting of notes from coaching sessions for the purpose of professional practice. 

  • To respond to user inquiries/offer support to users. We may use your information to respond to your inquiries and solve any potential issues you might have with the use of our services.

  • To send you marketing and promotional communications. We may use the personal information you give to us for our marketing purposes. This may be in the form of an electronic newsletter telling you about Ascending Motherhood news, updates, related product or service information, etc. When expressing an interest in obtaining information about us or our Services, subscribing to marketing or otherwise contacting us, we will collect personal information from you. You can opt-out of our marketing emails at any time via the detailed unsubscribe instructions at the bottom of each email or by emailing arabella@ascendingmotherhood.com 

  • Deliver targeted advertising to you. We may use your information to develop and display new types of service and types of service that may be relevant to you. 

  • For other business purposes. We may use your information for other business purposes, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our services, products, marketing and your experience. We may use and store this information in an anonymized form.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  • A contractual obligation.

  • We have a legal obligation.

In essence we process your information for purposes based on legitimate business interests, the fulfillment of our contract with you, and compliance with our legal obligations.

Health & Wellbeing @ Work 2024 specific information

At this event your visitor or exhibitor badge was scanned, and your data was provided to Arabella Ashfield from Ascending Motherhood. The data that is now held by Arabella Ashfield is as follows: Date and time your badge was scanned, whether you were invited to the event by Arabella or not, badge number, badge type (visitor or exhibitor), status (active or not), title, first name, last name, telephone number if provided, mobile if provided, email address, company name, job title, address and post code, and some notes made by Arabella about how conversation. 

This data will be held securely and in accordance with the rest of this privacy notice. 

If you wish your data to be removed and no longer held by Arabella Ashfield and Ascending Motherhood, please reply or email arabella@ascendingmotherhood.com stating “please remove my data” or equivalent wording. 

If you wish your data to opt out of any communications from Arabella Ashfield and Ascending Motherhood, please reply or email arabella@ascendingmotherhood.com stating “I want to opt out of communications” or equivalent wording. Please read the rest of this privacy state for further information.

What we do with the information we have

We hold the information you give us in electronic form and use it for the above previously stated reasons.

We do not share your information with any other organisation or individual.  

We undertake profiling of your information to identify which business services may be relevant to you based on the information you provide. This is done in person and not using artificial intelligence/automated decision making. This profiling will mean more accurate marketing information being circulated to you. 

Changes to this privacy policy

Ascending Motherhood has the discretion to update this privacy policy at any time. The date of the version will always be stated at the top of the statement. We encourage you to frequently check this page for any changes to stay informed about how we are helping to protect the personal information we collect. You acknowledge and agree that it is your responsibility to review this privacy policy periodically and become aware of modifications.

How we store your information 

Your information is securely stored using Google Workspace cloud technology. The data controller responsible for processing your information depends on where a company/organisation is based, for users of Google services based in the United Kingdom it is Google LLC. Service Data may be processed on servers located outside of the UK where Ascending Motherhood is based because Service Data is typically processed by centralized or regionalized operations like billing, support, and security. Regardless of where Service Data is processed, Google applies protections described in their Privacy Notice which can be found here. When transferring Service Data outside of the European Economic Area, Google comply with certain legal frameworks which can be found here.

We keep your personal identifiers, contacts and characteristics (for example, name and contact details including address, email address and phone number) as well as notes from your sessions (which are required as per proper professional practice set out by the European Coaching & Mentoring Council, for as long is as relevant to communicate with you about services. We will then delete and dispose of your information by deleting all these details from the documents holding this information. At this point if it is not possible to delete your personal information because it has been stored in backup archives, then we will securely store your personal information and isolate it from any further processing until deletion is possible.

Do we collect information from persons under 18 years of age?

We do not knowingly collect data from or market to children under 18 years of age.

By using the services, you represent that you are at least 18. If we learn that personal information from users less than 18 years of age has been collected, we will ease the use of this information and take reasonable measures to promptly delete such data from our records. Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information. 

  • Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

  • Your right to object to processing - You have the the right to object to the processing of your personal data in certain circumstances. You also have the right to withdraw your consent. 

  • Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
